Follow-up of sick leave

Follow-up of sick leave

Registration of absence

  • Self-reports and medical reports are automatically recorded in Follow-up.
  • Two absences that follow each other directly in date are connected and appear in the same timeline.
  • If an employee has been at work between two absences, this becomes two separate follow-ups.
  • All follow-ups are moved to Previous Follow-up 7 days after the closing date, provided follow-up tasks are completed.
  • Self-reports do not have any mandatory tasks that need to be scrapped.

Notifications of deadlines

  • “Deadline Approaching” appears 7 days before the deadline for follow-up.
  • For tasks with a 2-week deadline, the notification appears 3 days before.
  • By ticking the checkbox that the task has been completed, the notification will disappear. Example:

Follow-up points generated by the system

  • Day 1
  • Day xx (notice comes on the last day that an employee is entitled to self-notice days in an employer's term. This comes from the Business Settings).
  • 2 weeks — Appointment meeting for development of follow-up plan
  • 4 weeks — Follow-up plan must be submitted and manager and employee agree time for Dialogue Meeting 1
  • 7 weeks — Dialogue meeting 1
  • 26 weeks - Dialogue meeting 2 under the auspices of NAV. Nav may request an updated follow-up plan.
  • 9 months — Call for Dialogue Meeting 3 if needed.
  • 12 months — Clarify with the employee about further follow-up

Notes and uploading files

There are two options for writing note and loading file:

1. You can write a note from the button in the upper right corner of the timeline. This note field is intended to be used when it is outside the follow-up points that are predefined. The note will embed in the timeline on the date that you insert. The same applies to file uploading.

2. If you create a note inside the follow up point, the note will be saved in association with the current follow-up that you are in, the same applies to file uploads.

Details for registrations

By hovering the mouse pointer over the registration of an absence, three dots will appear. Here you can click for more information about the registration and to go to the details of the registration.

Extend, terminate, or delete a follow-up

Extend

  • Select “Extend absence” inside the follow-up.

Close

  • If the employee is back at work without further sick leave, you can select “End follow-up” when all tasks have been completed. Follow-up is moved to Previous follow-up.

Delete

  • The follow-up can be deleted from the same place. NOTE: Notes and files are also deleted.
  • The absent registration will still be found under Manage in the main menu and must be edited or deleted there if necessary.

Printing

Download and print the follow up:

  • Select “Download the follow-up” to print the entire follow-up, including notes and how-to texts.
  • Files must be downloaded and printed individually from the timeline (marked with a binder symbol).
  • Single notes can also be downloaded and printed separately.
