Can we create a common departmental user?

We recommend that you do not do this. The system is made and adapted for each individual to have a personal login. The system ensures the distribution of tasks in departments and there is the possibility of holding people accountable. In this way, you will get an overview of which tasks belong to the department and what belongs to the person. You can select the department in checklist, measures, risk assessment, deviation and activity.

Why don't my employees receive emails after I put them into the system?

Occasionally, we unfortunately see that emails sent out from Mentor HMS are put in spam. Then tell them to check this one out. If the emails are located here, then they may notice that this is not spam and thus the next emails sent out should end up in their inbox. If this does not help, contact IT Support.

How to know when the routines have been updated by Mentor HMS

When we update a routine or article, it will appear in the tile for updates. You can either tap on the individual update or “Read all”. If you press “Read all” you will get an overview of which updates have been handled and when they have been published. As you have handled all updates, this tile will be blank, but the overview under “Read all” will show all updates posted in the last 6 months. Updates that have not been processed can also be found in each manual at the top left, across all areas. This is where you need to decide on the new update to remove it.Example: All updates within the HSE routines can be found in “Routines and preparedness”, at the top right, across all HSE areas. It says whether the update comes from Mentor HSE or from your workplace.

How is the overview of the legislation documented in Mentor HSE?

In each routine we refer to the relevant regulations that say something about what is being written. Here we distinguish between law references and subject references. The referral opens in a new tab when you tap it.

Under the splinter references you will find an overview of all legal references and subject references in Mentor HSE. under overview you will see which routines and articles are associated with the various law references.

Do we need to create a new risk assessment when we are going to assess the same risk over again?

The No. You can press the cog in the upper right corner and press “edit”. Then you can change the text inside the risk assessment and a new version of the risk assessment will be created. Just like routines, you will be able to look back to the other versions by pressing the gear wheel, and “view versions”.

Does the person who reported the discrepancy get feedback once the discrepancy has been dealt with?

Yep. A non-compliance notifier will be sent an email once the discrepancy has been dealt with. If you have not received any email, you can check your spam.
