Adopt the HSE manuals and templates

‍

We've created templates to help you get started β€” but they need to be adapted to your business. You can find them below Template Library.‍

You will get ready-made templates for:

Routines: Contains proposals for standard procedures for how the company handles various HSE related issues, such as fire protection, chemical handling, first aid and sickness absence monitoring. These procedures shall be adapted to the actual working methods and risk conditions of the enterprise.

Objective/Organization/Training: These templates help you define HSE objectives, describe role allocation (e.g. HSE manager, management, employees) and ensure plan for training and skills development. The templates are useful for documenting both intentions and lines of responsibility.

Participation/Protection Service: Provides structure for how employees should be involved in the work of the HSE, and how the protection service (protection ombudsman, work environment committee) works. Here you can document procedures for participation and cooperation between employees and management.

Contingency card: The templates provide clear action plans in the event of adverse events such as fire, power outage, violence/threats, or serious injury. They should be easily accessible to employees and describe who is doing what - quickly and clearly.

‍Checklists: Standardized checklists for the implementation of tasks such as protection rounds, risk assessments, equipment control, etc. They help ensure that important activities are carried out systematically and documented.

Personnel Manual: Staff handbook template that provides an overview of rights, duties, procedures, and policies that apply to employees. Can cover topics such as working hours, holidays, leave, sick leave, notification and internal rules.

Managers' Manual: Management manual template that provides managers with support in following up responsibilities within HSE, personnel management, internal control and statutory duties. The manual provides an overview of the manager's role and tools in day-to-day operations.

Create user access

Before employees can use the system, they must gain user access. For businesses with one or more departments, we recommend starting by creating these first β€” so that each employee ends up in the right place from the start. Then you can create users, assign them roles and provide access to relevant functions of the system.

You do this under Administration > Settings

‍

πŸ” Tip: Start by creating key people such as general manager, health and safety officer.

‍

Plan the work of the HSE

Create annual wheel to plan HSE activities and distribute tasks through β€” such as protection rounds, training, risk assessments and evaluation of routines. A good plan makes it easier to follow up and document the work.

Get an overview with reports and dashboards

Once the HSE work is underway, it is important to have a good overview of the status and progress. In the solution, you'll find dashboards and reports to help you keep up with what's happening.

You can easily see:

  • How many deviations and suggestions for improvement have been recorded β€” and how they have been followed up
  • Status of planned activities in the calendar and year wheel
  • What risk assessments have been carried out
  • Documentation related to supervision, training and updates

The dashboards give you a visual overview β€” perfect for internal control, staff meetings and management reporting.

By actively using the reports, you can ensure that the work of the HSE is systematic, documented and in continuous improvement.
